For this notice, “RelayCX,” “we,” “us,” or “our” means the United States-based RelayCX business responsible for this website. The specific legal entity and contracting address are identified in an applicable quote, order form, or customer agreement.
This notice applies to relaycx.ai, messages sent to us, sales and diagnostic activity, and the invitation process for a customer workspace. It does not replace customer-specific privacy, security, retention, residency, subprocessor, or deletion terms. Those obligations are established during diligence and documented in signed agreements before production use.
2. Information we collect
Information you provide
When you contact us, we may receive identifiers and professional information such as your name, work email, company, role, team, region, preferred timing, workflow description, and the contents of your message. When you submit the website form, these fields are transmitted through our server-side inquiry workflow and communications provider so RelayCX can receive and respond to the request.
Business relationship information
During discovery, contracting, and customer operations, we may process meeting notes, commercial preferences, security and legal requirements, project scope, authorized-user details, usernames, authentication events, support communications, and records needed to manage the relationship. Passwords submitted through the client sign-in form are used only for authentication and are not included in the session cookie.
Device and network information
Our hosting and security providers may process IP address, browser and device type, requested URL, timestamps, approximate region derived from IP, and security or diagnostic events needed to deliver and protect the site. Do not submit passwords, credentials, government identifiers, payment-card data, health information, customer records, or other sensitive production data through the public website.
3. How we use information
We use personal information to:
- respond to sales, diagnostic, security, legal, privacy, access, and support requests;
- evaluate a workflow, prepare a proposal or SOW, and manage a prospective or active customer relationship;
- provision and administer invitation-only access for approved customer users;
- operate, secure, troubleshoot, and improve the website and customer experience;
- detect misuse, protect rights and systems, and enforce applicable agreements; and
- meet tax, accounting, legal, regulatory, and recordkeeping obligations.
Depending on the context and applicable law, our basis may be your consent, steps requested before entering a contract, performance of a contract, legitimate business interests, or compliance with law.
4. Disclosure, service providers, and sales
We may disclose relevant information to providers supporting hosting, security, communications, customer identity, collaboration, analytics configured for a customer environment, professional advice, and business operations. We may also disclose information during a corporate transaction, at a customer’s direction, to protect rights or safety, or when required by law. Providers are expected to process information for the services they supply and subject to applicable contractual restrictions.
We do not sell personal information. We also do not share personal information collected through this website for cross-context behavioral advertising or targeted advertising. If those practices change, we will update this notice and provide any legally required choice before the change applies.
6. Retention and security
We generally retain prospect and inquiry records for up to 24 months after the last meaningful interaction, unless a longer period is needed for an active customer relationship, legal obligation, dispute, security investigation, or documented business record. Customer, access, and support records follow the applicable agreement and operational retention schedule. Hosting and security logs may have shorter provider-controlled retention periods.
We use administrative and technical safeguards appropriate to the information and the service, including limiting access and using controlled customer invitations. No transmission, storage, or security measure can guarantee absolute security. If you believe information has been exposed or an invitation is suspicious, contact us promptly and do not send a password by email.
7. Your privacy choices and rights
Depending on where you live and whether a law applies to RelayCX, you may request access to, correction of, or deletion of personal information; a portable copy; information about collection and disclosure; restriction of or objection to certain processing; or withdrawal of consent. You may also have a right to appeal a denied request and to receive equal service when exercising privacy rights.
To make a request, email hello@relaycx.ai with “Privacy request” in the subject line and describe the request and your relationship with RelayCX. We may verify your identity and authority using information appropriate to the request. An authorized agent may submit a request where permitted by law, subject to verification.
Because we do not sell or share website personal information for behavioral advertising, there is currently no sale or sharing opt-out needed for this site. You control the information entered in the diagnostic form and can choose not to submit it.
8. Regional and age-related information
United States
Residents of states with applicable comprehensive privacy laws may have rights to know or access, correct, delete, obtain a copy, and opt out of specified uses such as sale, targeted advertising, or certain profiling.
